Job Description:

The Operations Coordinator is responsible for ensuring the smooth and efficient functioning of the church’s day-to-day operations. This role involves overseeing administrative tasks, facility management, event coordination, and the implementation of policies and procedures. The Operations Coordinator plays a crucial role in supporting the church's mission by maintaining an organized and welcoming environment for staff, volunteers, and congregants.

Key Responsibilities:

  1. Facility Management:
    • Oversee the maintenance and upkeep of church buildings and grounds, ensuring that all facilities are clean, safe, and in good repair.
    • Coordinate with external vendors and contractors for repairs, maintenance, and other services as needed.
    • Manage the scheduling and use of church facilities for services, meetings, and events, ensuring there are no conflicts.
  2. Administrative Oversight:
    • Manage the day-to-day administrative functions of the church office.
    • Order and manage supplies for the church, ensuring that all ministries have the resources they need.
  3. Event Coordination:
    • Assist in the planning and execution of church events, including worship services, weddings, funerals, community outreach, and special programs.
    • Work with ministry leaders to coordinate logistics, including setup, teardown, and the allocation of resources.
    • Ensure that all necessary permits, licenses, and insurance are in place for events.
  4. Volunteer and Staff Support:
    • Provide support to church staff and volunteers, ensuring they have the tools and information they need to perform their roles effectively.
    • Coordinate volunteer schedules for various operational needs, such as setup, hospitality, and administrative support.
    • Assist with onboarding new staff and volunteers, ensuring they are familiar with church policies and procedures.
  5. Technology and Communication Management:
    • Oversee the church’s technology needs, including maintaining office equipment, managing IT support
    • Prepare and distribute weekly bulletins, newsletters, and other communications to the congregation.
  6. Financial and Budgetary Assistance:
    • Assist the church administrator or finance team with budget preparation, monitoring, and reporting.
    • Process invoices and payments for operational expenses, coordinating with the finance team as needed.
  7. Policy Implementation and Compliance:
    • Ensure that all church operations comply with legal requirements, safety regulations, and denominational guidelines.
    • Develop and update policies and procedures for church operations, communicating changes to staff and volunteers as necessary.
    • Conduct regular reviews of safety protocols and emergency procedures, organizing training sessions as needed.
  8. Collaboration with Church Leadership:
    • Work closely with church leadership to support the overall mission and vision of the church through effective operations.
    • Participate in staff meetings, providing updates on operational matters and contributing to strategic planning discussions.

Qualifications:

  • Faith Commitment: A committed Christian who supports the church’s mission, vision, and values.
  • Experience: Prior experience in operations management, facilities management, or a similar role in a church, nonprofit, or corporate environment.
  • Skills:
    • Strong organizational and multitasking abilities, with a keen eye for detail.
    • Excellent communication and interpersonal skills.
    • Proficiency in office software, including word processing, spreadsheets, and database management.
    • Basic understanding of IT systems and audiovisual equipment.
    • Ability to manage budgets and track expenses.
  • Education: A Bachelor’s degree in business administration, operations management, or a related field is preferred but not required.

Work Environment:

  • This position will require occasional work on evenings and weekends, particularly during church events or emergencies.
  • Light to moderate physical activity may be required, including lifting, moving equipment, and event setup.
