Summary

This position is responsible for supporting Guest Services, Care, Missional Life, and Adult Ministries. This support ranges from clerical to project management to team leadership/coordination and requires the ability to manage confidential information with integrity and discretion. This person is a ministry partner with those they support and is an integral member of the ministry team.

This is a part time, hourly position. As such, the employee is expected to manage the workload and time with their supervisor. A typical workweek for this position is up to 25 hours, with the expectation that most work will occur in the office during business hours and some Sundays.

Working Relationships

This position reports to the Senior Associate Pastor of Adult Ministries and Missions and provides support to Guest Services and Care; manages and supports ministry volunteer teams in addressing responsibilities as required by supervisor.

Key Responsibilities

  • Provide communications support in a professional manner (screening, routing, returning, and summarizing phone calls/emails/mail), assisting in accordance with delegated authority.
  • Schedule, communicate, and plan meetings as requested.
  • Schedule and coordinate details involved in ministry events and assist with coordination of leadership and all-church/special events, including but not limited to: scheduling, material preparation, communicating with facilitators, logistics and recruiting ministry volunteers, and working with other ministry teams to ensure the processes are completed properly.
  • Maintain Adult Ministry groups and participant records in church database.
  • Assist in preparation for Missions and Adult Ministry events; this may include promotion, room reservation, supply acquisition, setup/tear down, hosting, etc.
  • Maintain room reservations and accurate information in Ministry Platform, eSpace, and other church databases for small groups and events.
  • Create and process PO’s as needed for Missions and Adult ministries.
  • Generate weekly prayer reports from CF members and CCDC prayer requests.
  • Perform follow-up contact duties from weekend services and other activities. This includes Connect Cards received, Sign-In sheets from events, and administration of Right Now Media.
  • Ensure Care, Missions, and Adult Ministries’ web pages are updated.
  • Create and maintain Pastor on Call schedule.
  • Monitor Benevolence applications, ensuring each application is recorded in the church database, and a copy of each application is posted on the team drive.
  • Oversee baptisms, including coordinating baptism events, communicating with baptism candidates, and updating baptism milestones.
  • Participate in the Adult Team planning meetings.
  • Serve as backup for the reception desk as needed.
  • Perform other duties as assigned by supervisor.

Work Environment and Physical Demands

This person must be able to exchange accurate information when working with others and be able to work at a desk operating a computer and other office equipment, at least 50 percent of the time, as well as move about the facility to meet with people and access files, other information, operate office machinery, etc. This person must also be able to lift up to 30 pounds and maneuver it (i.e. twist, push, pull, etc.) and be able to move heavy loads by hand and other similar actions periodically throughout the workweek.
